Booking a holiday with Union Canal Carriers Ltd.

To book a holiday with Union Canal Carriers Ltd we need the following details to process your booking

Your Full Name, your email address, postal Address, telephone number, confirmation age over 18 years old, boat requested, arrival and departure dates, number of people in the party, financial details for payment.

This is to perform a contract of the holiday and will be held in paper form and electronically for 7 years

 

Registration of guests

Details of party members (crew List) are required before embarking on board the boat, date of birth of party members under 18, vehicle registration number.

This information is kept in paper form with the accounts for 7 years to cover liability claims

 

Issues, faults or complains

If you contact us to report an issue, fault or complaint the following information will be collected. Name, Address, phone number and email if appropriate, boat hired, location of incident and nature of enquiry. These details will be stored with the accounts for 7 years to cover liability claims

 

Contacting the office

If you contact the office before, during or after your holiday the following information is collected

Name, address, boat hired, arrival / departure date, nature of enquiry.

These details are used to resolve the enquiry and maybe kept as feedback to improve our service.

This information is kept in paper form with the accounts for 7 years to cover liability claims

 

Accident medical assistance

If you have an accident on board one of our boats the following details will be collected name, address, boat hired, arrival and departure dates, medical condition or injury. Required by law to register injury and medical attendance. This information is kept in Union Canal Carriers Ltd. accident book for 7 years to cover liability claims and cover our legal rights.

 

Financial records

We do not record any Credit / Debit Card or bank details on computer systems. Any credit card receipts are stored with your booking invoice and are kept in locked cabinets.

 

Customer feed back form

If you complete our feedback form the following information is collected name, boat hired, arrival date, and your opinions related to the survey.

These are used to improve customer experience on our boats and are held in paper form for 2 years.

 

Enter a competition

Should we run competitions unless you give us permission to contact you for marketing reasons we will only contact you with regards to the competition. These details will be stored for the length of the competition and destroyed once the winner has been confirmed, unless marketing consent has been given for contact with regards to booking a holiday with Union Canal Carriers Ltd.

 

Marketing

So that you will hear about any special offers and early booking discounts we may send you information by post/ telephone or email. This data will be stored on our specialist encrypted booking system which will show which boat you hired, and arrival / departure dates, lead name on the booking, address and phone number(s), payment history (to show you paid in full, but not financial details). When accepting the boat you will be asked to opt in for email marketing. On every marketing email there will be an option to stop receiving marketing.

Please note that if you have a forthcoming booking we will send you related emails about your booking even if you have unsubscribed from marketing as this is important information required for your holiday.

 

Do we share your information

No, we do not provide personal details with any other company.

Legal requirements. In some circumstances, we may have to disclose your personal information by law, because a court or the police or other law enforcement agency has requested it using the appropriate channels.

 

How long do we keep your information?

We only hold your personal information (name, address, email, boat hired, date of arrival / departure, price paid in full on our encrypted Bookalet system and in paper form invoices, a crew list, arrival details form, boat acceptance sheet and any written correspondences we have had with you with regards to your holiday), for as long as is necessary to provide services to you and cover Union Canal Carriers Ltd. should there is a possibility that you may have a legal claim against us. Once we no longer need these details they are shredded or incinerated.

 

Phone calls

We do not record phone calls – any card payments made over the phone are directly keyed into the card terminal which is protected by SecurityMetrics and receipts are stapled to the invoice raised for the booking then stored in locked cupboards.
